Help
User Manual
Use these sections in working order. Start with Dashboard, move into Visits and Capture, then review Site, Reports, Data, and Admin.
Showing all help sections.
Demo and Guided Tour
Load the validation dataset, then run the guided walkthrough for training, onboarding, or presentation.
Load validation data before starting the guided tour.
Quick Tips
Use Dashboard to decide where attention is needed first.
Record findings during the visit, not after it.
Check lifecycle and follow-up status before closing an item.
Verify filters before exporting reports or CSV data.
What this system does
This system supports site visits, finding capture, follow-up tracking, and reporting. It links sites, visits, findings, and review screens so work can move from inspection to closure without losing context.
Fast workflow
Open Dashboard and review where pressure is highest.
Open the site, then start or resume a visit.
Add findings during the visit, then complete the visit and review open actions.
Quick Jump is the fastest route when you already know the site or screen you want.
Visit flow
Start a visit from Dashboard, Visits, or Site. Record findings as they are seen, review the live finding list, then complete the visit when the record reflects what was found on site.
Capture standard
Choose the correct area and issue type.
Set severity based on risk and urgency.
Write a short factual note that another person can understand without explanation.
Record findings while the visit is active so the sequence and timestamps stay accurate.
Severity
Low is a limited issue, Medium is a stronger control gap or developing risk, and High is a significant risk or urgent gap. Severity affects priority, dashboard attention, and reporting value.
Lifecycle and action state
Use Follow-up when further action or verification is still needed.
Use Revisit when the issue, pattern, or site needs another check.
Use Closed, Mitigated, Deferred, or Superseded to reflect the true outcome of the item.
Set status to reflect what happened, not what you hope will happen. Clean lifecycle control gives cleaner workload views and stronger reporting.
What these screens are for
Dashboard gives the working picture of where attention is needed now. KPIs give higher-level counts and performance indicators. Trends turns single findings into repeat themes, repeat sites, and pattern direction.
How to use them
Use Dashboard to decide where to go next.
Use KPIs to review volume, risk, and workload.
Use Trends to identify repeat issues, repeat sites, and clustered areas.
Metric definitions
Weighted Risk is the combined risk load after severity is weighted. Higher-severity findings contribute more than lower-severity findings.
Main Pressure is the strongest current driver behind site attention, such as open follow-ups, repeat issues, worsening trend, or higher risk concentration.
Attention Score is the overall priority signal used to rank where attention is needed first. It brings together risk, open workload, repeat pressure, and trend direction.
Dashboard is your next move. KPIs and Trends show whether the campaign is improving or drifting.
Site Profile
Site Profile brings one site into focus. It shows metrics, recurring themes, open findings, and recent visit history so a single location can be reviewed in context.
Record use
Use Site Profile to prepare for follow-up calls, revisit planning, or management discussion.
Use Finding Record to review the issue, its status, and its updates.
Use Visit Record to review what was captured during that visit and how the visit changed over time.
Use active filters for normal workload review. Include archived or closed history only when you need the wider record.
Report workflow
Use Reports to filter the dataset before reviewing or exporting it. Reports are for detail and evidence, while KPIs are for quick oversight.
Steps
Set the site, date, severity, and status filters required.
Review the report output before exporting.
Export only when the active filter set matches the intended output.
Most report issues come from the wrong filter set, not the export itself.
Data and sync model
This app works local-first. Data is stored on the device in browser storage, with export and sync controls used to move or protect records. Live mode uses operational data. Demo mode uses the validation dataset.
Control points
Export data at regular points for backup and transfer control.
Run import only as an admin maintenance task after checking file structure and record type.
Use sync and mode controls carefully so live and validation work stay separate.
Users only see data within their assigned scope. Admin has wider access and controls mode, regions, and users.
What Admin controls
Admin controls user setup, region structure, access scope, and mode defaults. This keeps visibility and permissions aligned with how the app is being used operationally.
Main tasks
Create or edit regions.
Create or edit users and assign their scope.
Set demo access and default mode where needed.
Use Admin for control and setup, not day-to-day field activity.
Purpose
Demo Mode provides a safe environment for training, testing, and walkthroughs. The validation dataset is used to show repeatable outputs across Dashboard, Site, Reports, CSV, and PDF.
How to use it
Load the validation dataset.
Switch to demo display where required.
Reset or clear the dataset when the session is finished.
Demo Mode is for safe rehearsal and presentation. Keep it separate from live operational work.
What this is for
Use the validation dataset and guided tour together when training users, testing the system safely, or presenting the platform to others.
Step 1: Load validation data
Open the Data screen.
Select Load Validation Dataset.
Confirm the dataset is active before starting the tour.
Step 2: Start the guided walkthrough
Start the tour after the validation dataset is loaded.
Follow the expanded speech-box guidance across Dashboard, Site, Reports, Trends, and KPIs.
Use Next, Back, Skip, or Finish to control the walkthrough.
What the guide explains
Weighted Risk is the combined risk load after severity weighting is applied across findings.
Main Pressure is the main reason a site is rising in priority, such as repeat issues, follow-up load, or worsening trend.
Attention Score is the overall ranking signal that helps the app decide where attention is needed first.
When to use it
Onboarding new users.
Presenting the system to stakeholders.
Showing how screens connect across the full workflow.
Use the guided tour with validation data so the walkthrough stays controlled and repeatable.
Data
Export
Operational tool. Export your in-scope records for reporting and review.
Admin Maintenance - Import
Admin only. Maintenance import replaces current mode data after validation and confirmation.
Import replaces the selected collection for this mode after confirmation.
Sync Recovery
Diagnostics and recovery. Refresh queue status is available to all users; retry actions are admin only.
Queue status unavailable.
Validation Dataset
Admin maintenance for dataset load/clear. Use this for controlled non-live validation checks across dashboard, site, reports, CSV, and PDF.
Demo and Guided Tour
Run a guided walkthrough across key screens using the validation dataset.
The expanded tour follows Dashboard, Site Profile, Reports, Trends, and KPIs with speaker prompts.
